Operations Administrator - Trucking

We are currently looking for a full time Operations Administrator to join our growing team! This is a full time contract based position with the potential to grow into a permanent role!

Reporting directly to the Director of Operations, the Operations Administrator will be responsible for:

  • Monitoring broker (subcontractor) trucks start and stop times, travel times and loading times using GPS devices and timesheets and matching data against estimated travel times to ensure timely arrival on site.
  • Assisting with the selection of trucking companies to provide haulage services for various Forest Group projects.
  • Distributing Global Positioning System (GPS) devices to the selected companies and ensuring that the devices are used consistently by all trucks assigned to Forest Group projects.
  • Tracking and logging GPS devices and ensuring their timely return at the end of the season.
  • Distributing and collecting signed contracts and agreements from trucking companies.
  • Liaising with trucking companies regarding GPS adherence.
  • Monitoring broker trucks time sheet completion and ensure foremen are completing the timesheets consistently and correctly.
  • Assisting with matching time sheets and GPS records with invoices and approving/disputing them accordingly.
  • Assigning hours for broker trucks to the correct job numbers to ensure appropriate job costing.
  • Confirming 407 usage noted on invoices using 407 statements provided by various trucking companies.
  • Assisting with monitoring of Forest Group Drivers - Tracking, 407 Usage, Fuel Usage
  • Other operational tasks as needed

Qualified candidates will possess:

  • 1+ years of trucking and/or construction experience.
  • Familiarity with GPS softwares.
  • Experience with Microsoft Office (Excel, Word etc.).
  • Experience with construction management softwares.
  • Effective communication skills.
  • Excellent time management skills.
  • Effective problem-solving skills.
  • Strong organizational skills and high attention to detail.
  • Ability to multitask and prioritise various tasks.
