Operations Administrator

We are currently looking for a full time Operations Administrator to join our growing team! This is a full time contract based position with the potential to grow into a permanent role!

Reporting directly to the Director of Operations, the Operations Administrator will be responsible for:


  • Supporting the Director of Operations, Project Managers, Supervisors and Foremen with the coordination and administration of daily operations.
  • Assisting with the scheduling and coordination of crews, equipment, trucking, materials and other resources required for active projects.
  • Monitoring daily field activities, hours, production information and resource utilization to support operational planning and job costing.
  • Reviewing employee, equipment and subcontractor timesheets for completeness and accuracy and ensuring hours are allocated to the appropriate projects and job numbers.
  • Monitoring Forest Group vehicles and equipment, including GPS tracking, utilization, fuel usage, 407 usage and other operational information.
  • Coordinating broker and subcontractor trucking requirements across Forest Group projects, including assisting with the selection and scheduling of trucking providers.
  • Monitoring broker truck start/stop times, travel times, loading times and site activity using GPS records, timesheets and other available information.
  • Distributing, tracking and collecting GPS devices provided to subcontractors and ensuring compliance with Forest Group tracking requirements.
  • Coordinating the distribution and collection of contracts, agreements and required documentation from subcontractors and service providers.
  • Liaising with subcontractors, suppliers, Foremen and other operational personnel to resolve scheduling, documentation and service-related issues.
  • Assisting with the reconciliation of subcontractor timesheets, GPS records, supporting documentation and invoices, including identifying and resolving discrepancies.
  • Verifying applicable charges, including trucking hours, material quantities, 407 charges and other project-related costs.
  • Assisting with the coordination and tracking of material deliveries, equipment movements and other project logistics.
  • Maintaining accurate operational records, logs, spreadsheets and supporting documentation.
  • Assisting Operations with tracking project costs, productivity and resource allocation and identifying discrepancies requiring follow-up.
  • Supporting communication between the office and field to ensure operational information, scheduling changes and project requirements are communicated effectively.
  • Assisting with the preparation of operational reports and other information required by management.
  • Providing general administrative and coordination support to the Operations Department as required.
  • Performing other operational duties and special projects as assigned.

Qualified candidates will possess:


  • Familiarity with GPS softwares.
  • Experience with Microsoft Office (Excel, Word etc.).
  • Experience with construction management softwares.
  • Effective communication skills.
  • Excellent time management skills.
  • Effective problem-solving skills.
  • Strong organizational skills and high attention to detail.
  • Ability to multitask and prioritise various tasks.
